Name the people who can approve.
Identify the traveller or owner, coordinator, releasing contact and recipient. State who accepts the quote and pays the invoice. A company email alone does not authorise release of another person’s belongings or a change to a sensitive delivery instruction.
Separate personal bags from business goods.
Clothing differs from company devices, samples, promotional stock and professional equipment. Declare purpose, value and contents accurately. Commercial documentation or data-security requirements may apply. Ordinary industrial cargo should not be relabelled as BLACK personal logistics.
Keep the handover discreet and authorised.
Provide office or property access instructions securely and agree who can receive updates or sign. Confidential itineraries, document contents and identity details do not belong in campaign links, public notes or shared social posts.
Request dedicated custody only when useful.
Explain why an eligible original document, important attire or valuable item needs a specific custody plan. Hand carry/OBC requires route, permission and courier checks. It is not an unlimited confidentiality, security or cabin-carriage guarantee.
Keep one commercial record.
Supply billing entity details before invoicing and use the same reference for enquiries, quote acceptance, payment and shipment follow-up. Credit terms, corporate discounts, priority capacity and delivery guarantees require separate express agreement.
Can an assistant coordinate a traveller’s bags?+
Yes, with the necessary authority and accurate ownership, release and receipt details. Sensitive changes may need confirmation.
Does this create a corporate credit account?+
No. Credit or payment arrangements require separate approval with the service proposal.
